If you run a gym, studio, dance school or any business built on a class timetable (or you are a personal trainer moving into group classes), the software bill is one of the few running costs you can actually shop around on. The trouble is that every platform prices differently. Some charge by member count, some charge a flat fee plus bolt ons, some put card fees on top and some will not tell you a price until you have sat through a demo.
This guide lays out what each of the main UK platforms publishes today, what changes the price as you grow, and the extras that turn a cheap headline figure into a bigger monthly bill. The calculator below works out the real monthly cost for your own member numbers.

VAT matters when you compare. Gymcatch and ClubRight quote their prices plus VAT, so a VAT registered business reclaims it but a small studio below the £90,000 threshold pays the full 20% on top. TeamUp and Mindbody do not say either way on their pricing pages, so check before you sign. How Gym Software Is Priced
Nearly every platform uses one of three models, and the right one for you depends far more on your member count than on the headline price.
Flat fee plus bolt ons
Gymcatch charges one low base price with unlimited customers, bookings and staff, then £3 + VAT a month for each extra feature you switch on, such as memberships, discount codes, courses or automatic reminders. It suits a new studio, because the bill barely moves as you grow. Add up the bolt ons you will actually need before you compare it with anything else: five of them takes the base price from £12.75 to £27.75 + VAT.
ClubRight works the same way at a higher price point: £99 + VAT a month for Core or £179 + VAT for Complete, with unlimited members and users on both, no set up fee and no contract. Multi site, a custom Direct Debit identity and text message bundles are paid add ons.
Priced by member count
TeamUp charges by the number of active customers each month: £99 up to 100, £139 up to 200, £179 up to 300, £209 up to 400, £249 up to 500 and £299 above that. There is no set up fee and you can run unlimited locations on one account. Your software bill rises with your success, but predictably, and you always know which band you are in.
Quote only
Glofox publishes no prices at all; its pricing page is a form that asks about your business and locations. Mindbody publishes a starting price of £89 a month per location, but its Starter, Accelerate and Ultimate plans each say "Let's talk". Quote based pricing is not automatically worse, but it means you cannot compare until you have had the sales call, so go into it knowing what the published platforms would charge you.
The Costs Behind the Headline Price
The monthly plan fee is rarely the whole bill. These are the extras worth asking about, all taken from the platforms' own pricing pages.
- Card processing. You pay card fees whichever platform you choose; what differs is the rate. ClubRight charges 1.85% + 20p per card payment through its own payment service. Gymcatch charges 1.3% + 15p through GymcatchPay, and since 29 July 2026 adds a 0.75% platform fee if you use Stripe instead. TeamUp adds nothing on top of your own Stripe or GoCardless account. On a £45 membership, the gap between 1.3% + 15p and 1.85% + 20p is about 30p per member per month, which is £60 a month at 200 members.
- Direct Debit. ClubRight charges 45p per collection on Core and 40p on Complete, with no fee when a payment fails. Direct Debit is usually cheaper than card for recurring memberships.
- Your own branded app. TeamUp lists a custom branded app as an add on at $99 a month (priced in US dollars on its page). Ask every provider whether members book in an app with your name on it, and what it costs.
- New client commission. Mindbody takes 20% of a new client's first purchase when they find you through its marketplace, capped at 30 in local currency.
- More than one site. ClubRight's multi site head office add on is £199 + VAT a month. Mindbody prices per location. TeamUp includes unlimited locations.
- Text messages and hardware. ClubRight's SMS bundles run from £10 to £200 + VAT a month, and its card terminal is £150 + VAT one off.
- Leaving. Ask how you export your members, payment history and signed waivers, and whether it costs anything. Moving platforms later is far easier if your data comes with you.
What It Costs at Three Sizes
Using the same assumptions as the calculator (one card payment per member per month, 90% paying by card, Stripe's standard rate where no rate is published), here is the monthly total for a single site.

Gymcatch comes out cheapest at every size, because its plan fee is low and its card rate is the lowest anyone publishes. Further down, the order changes as you grow. TeamUp beats ClubRight for a small gym, but its fee climbs with every 100 active customers while ClubRight stays at £99, so ClubRight pulls ahead by 200 members even though it charges more per card payment. By 450 members, card fees are more than three quarters of every bill except TeamUp's, which is why the card rate deserves as much attention as the plan price.
